How to give your boss a status update in 30 seconds

A four-line script for when a manager or director asks, "Where are we on this?"

Your manager stops by and asks, "Where are we on this?" Most of us answer with the story: everything that happened, in order. By the time we get to the point, they've stopped listening.

Senior leaders usually want three things: where it stands, what happens next and whether they need to do anything. Here's a way to give them all three in about 30 seconds.

The 4-line update

  1. Where we are. On track, at risk or off track. Start with the answer.
  2. Why. One reason. The main one, not all of them.
  3. Next step. What happens next, and who owns it.
  4. What I need. A decision, a resource, or "nothing, just keeping you posted."

Examples

On track: "The new closing checklist is on track. All three closers have used it this week. Next, I'll review it with the openers on Monday. I don't need anything."

At risk: "Holiday staffing is at risk. Two people are out the week of the 20th. I'm asking for volunteers by Friday. If I don't get two, I'll need approval for overtime."

Off track: "The equipment repair is off track. The part is back-ordered two weeks. We're using the backup unit for now. I need a decision on whether to rent a replacement."

Why it works

Leading with the answer shows you know where things stand. Giving one reason instead of five sounds confident instead of defensive. And ending with what you need makes it easy for your boss to help, or to move on.

When they want more detail

They'll ask. That's the point. A short update invites the right follow-up question instead of burying it. Have the details ready, but let them pull them out of you.

Bad news? Say it early

The 4 lines work best when the news isn't good. A problem raised on Tuesday is a problem. The same problem discovered on Friday is a surprise. Leaders forgive problems much more easily than surprises.

Practice it once

Pick one thing you're working on and write the four lines now. Next time someone asks, you'll have the answer ready.
